Team Seats: Adding, Removing, Cost Per Seat

Manage team seats in your clariBI organization. Learn how to add and remove members, understand per-seat costs, and know what happens when you hit your plan's user limit.

Overview

Each clariBI plan includes a set number of team seats. A seat represents one user account in your organization. This guide explains how to manage seats, what each plan includes, and how to handle seat limits.

All seats are included in the plan price. clariBI does not charge per additional seat within the plan's limit.

Adding Team Members

Inviting a New Member

  1. Go to Settings > Team.
  2. Click Invite Member.
  3. Enter the person's email address.
  4. Select their role (if RBAC is enabled on your plan). The default role is Member.
  5. Click Send Invitation.

The person receives an email invitation with a link to create their account and join your organization. The invitation expires after 7 days. You can resend it from the Team page if needed.

Pending Invitations

Pending invitations count toward your seat limit. If you have 3 seats on the Starter plan, 2 active members, and 1 pending invitation, you cannot send another invitation until the pending one is accepted or cancelled.

To cancel a pending invitation:

  1. Go to Settings > Team.
  2. Find the pending invitation in the list.
  3. Click Cancel Invite.

This frees up the seat immediately.

Removing Team Members

How to Remove a Member

  1. Go to Settings > Team.
  2. Find the member you want to remove.
  3. Click the three-dot menu next to their name.
  4. Select Remove from Organization.
  5. Confirm the removal.

What Happens to Their Data

When a member is removed:

  • Dashboards and reports they created remain in the organization. Ownership transfers to the organization Owner.
  • Comments they posted remain visible but show the author as "Removed User."
  • Their workspace memberships are revoked.
  • Their API keys are automatically revoked.
  • Personal settings and login history are deleted.

The removed person can no longer access the organization. If you want to re-add them later, send a new invitation.

When You Hit the Seat Limit

If all seats are occupied and you try to invite a new member:

  • clariBI shows a message: "You have reached the maximum number of users for your plan."
  • The invite form is disabled.

Options When at the Limit

  1. Remove an existing member to free up a seat.
  2. Cancel a pending invitation that has not been accepted.
  3. Upgrade your plan to get more seats. See Upgrading, Downgrading, and Cancelling Your Plan.

Checking Your Seat Usage

Go to Settings > Billing > Usage to see:

  • Seats used -- current active members plus pending invitations
  • Seats available -- remaining seats on your plan
  • Seats by role -- how members are distributed across roles (Professional and Enterprise plans)

You can also see seat usage at the top of the Settings > Team page.

Downgrading with Too Many Members

If you downgrade to a plan with fewer seats than your current member count, clariBI requires you to remove members before the downgrade takes effect.

For example, if you have 10 members on Professional (15 seats) and want to downgrade to Starter (3 seats), you must remove 7 members first. clariBI shows a list of members and lets you choose who to remove.

Best Practices

  • Remove inactive members promptly. If someone leaves the team or changes roles, free up their seat.
  • Use Viewer roles for stakeholders. Instead of giving everyone full access, assign Viewer roles to people who only need to see dashboards. This keeps your seat count focused on active contributors.
  • Monitor seat usage monthly. A quick check at Settings > Team helps you plan for growth and avoid hitting limits unexpectedly.
  • Plan upgrades ahead of time. If you know you are hiring and will need more seats, upgrade before you hit the limit so onboarding is not delayed.
