Smartsheet is a collaborative work management platform used for project planning, tracking, and automation. Exporting your Smartsheet data and importing it into clariBI lets you use AI to analyze project timelines, resource allocation, task completion rates, and operational efficiency.

Export Data from Smartsheet
Note: Smartsheet does not offer a direct CSV export. The available export formats are Microsoft Excel, Microsoft Project, Google Sheets, and PDF. You can export as Excel and either upload the .xlsx file directly to clariBI (which accepts Excel files) or open the .xlsx file in Excel and save it as CSV if needed.
Method 1: Export a Sheet
- Open the Smartsheet sheet you want to export
- Click File in the top menu bar
- Select Export from the dropdown
- Choose Export to Microsoft Excel
- Select a save location on your computer
- Click Save to download the .xlsx file
- The export includes all rows and columns currently visible in the sheet
Method 2: Export a Report
- Open a Smartsheet report (which can pull data from multiple sheets)
- Click File > Export > Export to Microsoft Excel
- Choose your save location and click Save
- The report's current filters and groupings determine what data is exported
- All visible columns and rows in the report are included
Method 3: Export with Row Filters Applied
- Open your sheet and apply row filters using the filter icon in the toolbar
- Set conditions to show only the rows you want (e.g., status equals "Complete", due date is in the past)
- Click File > Export > Export to Microsoft Excel
- Only the filtered (visible) rows will be included in the export
- This lets you create focused exports without modifying the original sheet
Tips for Clean Exports
- Flatten hierarchical sheets if you want a simple row-per-record dataset (child rows will export with indent indicators)
- Apply filters before exporting to create focused datasets for specific analysis needs
- For multi-sheet analysis, export each sheet separately and import them as individual data sources
Import Your Data into clariBI
- Log in to your clariBI account at claribi.com
- Click Data Sources in the left sidebar
- Click the + Add Source button (top right)
- Under Direct Upload, select Excel Spreadsheet
- Enter a descriptive name (e.g., "Smartsheet - Project Plan Q1 2025")
- Click the upload area or drag and drop your .xlsx file
- Click Create Data Source
Once imported, you can ask clariBI questions like:
- "What percentage of tasks are on track vs. behind schedule and which projects need attention?"
- "Show me the average task duration by assignee and identify bottleneck areas."
- "How does actual completion rate compare to planned milestones over the past quarter?"
clariBI's AI will automatically analyze your data and suggest relevant insights.
