Sharing & Permissions

clariBI offers multiple ways to share work: direct team sharing, workspaces, and public links. Here is how each works and when to use them.

Team Sharing (All Plans)

Click the Share button on any dashboard or report. Select team members from your organization. Choose their access level: View (read-only) or Edit (can modify).

Team sharing is available on all plans because collaboration is central to BI work.

Workspaces (All Plans)

Add content to a workspace to share with everyone in that workspace. All workspace members see all workspace content. This is the easiest way to share with a group.

Public Links (Professional+)

Generate a URL that allows anyone to view a dashboard or report without logging in. Options include:

  • Expiry date — link stops working after a set date
  • Password protection — viewers must enter a password to see the content

Public links are available on Professional ($199/mo) and Enterprise ($999/mo) plans.

Permission Hierarchy

Access is determined by the most permissive applicable rule:

  1. Owner/Creator always has full access to their own content
  2. Organization role (Owner, Admin, Analyst, Member, Viewer) sets baseline capabilities
  3. Direct sharing can grant additional access to specific items
  4. Workspace membership grants view access to workspace content

Important

Sharing does not override role restrictions. A Viewer-role user who receives Edit access to a shared dashboard still cannot edit it because their organization role does not permit editing. Upgrade their role if they need edit capabilities.

Revoking Access

To remove someone's access, open the Share dialog and remove them. For public links, click "Disable" to revoke the link. Existing viewers will lose access immediately.
