How to Export CSV Data from Zoho CRM and Import It into clariBI

Zoho CRM is a feature-rich customer relationship management platform used by businesses worldwide. Exporting your Zoho CRM data into clariBI enables you to use AI to analyze lead quality, deal velocity, sales performance, and customer trends through simple conversational questions.

Export CSV Data from Zoho CRM

Method 1: Export Module Records (Leads, Contacts, Deals)

  1. Log in to your Zoho CRM account at crm.zoho.com
  2. Click the Setup gear icon in the top-right corner
  3. Under Data Administration, click Export
  4. Select the module you want to export (e.g., Leads, Contacts, Deals, or Accounts)
  5. Choose whether to export all records or only records matching specific criteria
  6. Select CSV as the format
  7. Click Export
  8. Zoho will prepare the file — download it from the notification or from the download prompt

Alternative: You can also export from within a module list view by clicking the three-dot menu icon in the top-right corner and selecting Export, but the Setup > Data Administration path is the primary method.

Method 2: Export Reports

  1. Click Reports in the top navigation bar (or find it under the Analytics section)
  2. Select the report you want from the report folders (e.g., "Deal Reports", "Lead Reports", "Account Reports")
  3. Click on the report to open it
  4. Apply any date range or other filters at the top of the report
  5. Click the Export icon (typically an arrow or download icon) in the top-right area of the report
  6. Select Export as CSV from the options
  7. The CSV file will download to your computer

Method 3: Export Custom Views

  1. Navigate to any module (e.g., Leads, Contacts, Deals)
  2. Select or create a custom view using the view dropdown at the top of the list
  3. Configure the view with the columns and filters you want
  4. Click the three-dot menu and select Export
  5. Choose CSV and click Export
  6. Download the file when ready

Tips for Clean Exports

  • Zoho CRM export limits depend on your plan (free edition has stricter limits; paid plans allow larger exports). If you have many records, apply filters to export in batches
  • Use custom views to pre-select the exact fields and filters you need before exporting — this saves time cleaning the CSV later
  • For deal pipeline analysis, include the "Stage", "Closing Date", "Amount", and "Deal Owner" fields in your export

Import Your Data into clariBI

  1. Log in to your clariBI account at claribi.com
  2. Click Data Sources in the left sidebar
  3. Click the + Add Source button (top right)
  4. Under Direct Upload, select CSV File
  5. Enter a descriptive name (e.g., "Zoho CRM - Deals Pipeline Q1 2025")
  6. Click the upload area or drag and drop your CSV file
  7. Click Create Data Source

Once imported, you can ask clariBI questions like:
- "What is my lead-to-deal conversion rate by lead source?"
- "Show me the deal pipeline value broken down by stage"
- "Which sales rep closed the most deals this quarter?"
