Toast POS is a restaurant-specific point-of-sale platform that manages orders, payments, menu items, and staff. Exporting your Toast data into clariBI enables AI-driven analysis of sales trends, menu item performance, labor costs, and guest satisfaction.
What You Can Export from Toast POS
- Sales summary data with revenue, taxes, and discounts
- Product mix reports showing item-level sales performance
- Labor reports with hours, wages, and overtime
- Payment transaction details by type (cash, card, etc.)
- Guest feedback and review scores
- Order data with timestamps and order types (dine-in, takeout, delivery)
- Void and comp records
- Tip and gratuity reporting
Export CSV Data from Toast POS
Method 1: Sales and Revenue Reports
- Log in to Toast Web (the back-office portal) at toasttab.com
- Navigate to Analytics & Reports in the left sidebar
- Select a report type such as Sales Summary, Product Mix, or Menu Item Report
- Set the Date Range using the date picker
- Apply any additional filters (revenue center, dining option, etc.)
- Once the report loads, click the Download or Export button (usually a CSV/download icon in the top-right)
- Select CSV and the file will download with all report data
Method 2: Labor Reports Export
- In Toast Web, go to Analytics & Reports > Labor
- Select the labor report you want (Labor Summary, Labor vs. Sales, Overtime Report)
- Set the date range and filters
- Click Export or Download CSV to save the labor data
Method 3: Payments and Transactions Export
- Navigate to Payments in the left sidebar
- Select the date range for the transactions you want to review
- Click Export to download payment transaction data as CSV
- This includes individual transaction details with payment type, amount, and tip information
Method 4: Guest Feedback Export
- Go to Guest Feedback from the sidebar or Reports section
- Review feedback entries and ratings
- Click Export to download feedback data as CSV (includes ratings, comments, and dates)
Automated Data Export (SFTP)
Toast also offers an automated data export system that delivers daily CSV files via SFTP. These files include OrderDetails.csv, PaymentDetails.csv, TimeEntries.csv, and more. Contact your Toast account representative to set up SFTP access for automated, recurring data exports.
Tips for Clean Exports
- The Product Mix report is especially valuable for restaurants — it shows how every menu item performs by quantity sold, revenue, and percentage of total sales
- Export Labor vs. Sales reports to let clariBI calculate your labor cost percentage, a critical restaurant KPI
- Set consistent date ranges (weekly or monthly) when exporting so that trend analysis in clariBI shows clean, comparable periods
Import Your Data into clariBI
- Log in to your clariBI account at claribi.com
- Click Data Sources in the left sidebar
- Click the + Add Source button (top right)
- Under Direct Upload, select CSV File
- Enter a descriptive name (e.g., "Toast POS - Product Mix Report January 2025")
- Click the upload area or drag and drop your CSV file
- Click Create Data Source
Once imported, you can ask clariBI questions like:
- "What are my top 10 selling menu items by revenue and which have the best margins?"
- "How does my labor cost percentage compare week over week?"
- "Show me sales by order type — dine-in vs. takeout vs. delivery — and how each has trended"
clariBI's AI will automatically analyze your data and suggest relevant insights.
