How to Export CSV Data from Help Scout and Import It into clariBI

Export conversation reports, customer data, and mailbox performance metrics from Help Scout as CSV files and import them into clariBI for deeper analysis.

Help Scout provides a clean, email-based customer support experience with built-in reporting. Exporting your Help Scout data as CSV and importing it into clariBI allows you to apply AI analytics to uncover support trends, measure team productivity, and enhance customer experience.

What You Can Export from Help Scout

  • Conversation data (status, assignee, tags, mailbox, dates)
  • Customer profiles and contact information
  • Response time and resolution time metrics
  • Happiness ratings and customer feedback
  • Mailbox-specific performance reports

Export CSV Data from Help Scout

Method 1: Export from Reports

  1. Log in to your Help Scout account
  2. Click Reports in the top navigation bar
  3. Select a report type (e.g., All Channels, Email, Happiness, Company)
  4. Set your desired date range using the date picker at the top
  5. Filter by mailbox, tag, or team member if needed
  6. Click the Export button (download icon) in the top-right corner
  7. Choose CSV and the file will download to your computer

Method 2: Export Customers

Note: Help Scout does not provide a self-service customer export in the UI. To obtain a CSV export of your customer data, the account owner must contact Help Scout support and request a customer data export. Help Scout support will generate the file and provide a download link.

Method 3: Export Mailbox-Specific Data

  1. Go to Reports in the top navigation
  2. Select the specific mailbox from the mailbox dropdown filter
  3. Choose the report category (e.g., Email, Chat, Phone)
  4. Set your date range
  5. Click Export and select CSV
  6. Download the generated file

Tips for Clean Exports

  • Export separate reports for each mailbox if you want to compare performance across support channels
  • Use tag-based filtering before export to isolate specific issue types or product areas
  • Include the happiness report export alongside conversation data for a complete picture

Import Your Data into clariBI

  1. Log in to your clariBI account at claribi.com
  2. Click Data Sources in the left sidebar
  3. Click the + Add Source button (top right)
  4. Under Direct Upload, select CSV File
  5. Enter a descriptive name (e.g., "Help Scout - Productivity Report Q1 2025")
  6. Click the upload area or drag and drop your CSV file
  7. Click Create Data Source

Once imported, you can ask clariBI questions like:
- "What is our happiness rating trend and which tags correlate with lower satisfaction?"
- "Compare average response times across mailboxes and identify which team members are most efficient."
- "What are the peak hours for conversation volume and how should we adjust staffing?"

clariBI's AI will automatically analyze your data and suggest relevant insights.
