How to Export CSV Data from Gusto and Import It into clariBI

Export payroll journals, employee directories, and compensation reports from Gusto as CSV files and import them into clariBI for AI-driven HR and payroll analysis.

Gusto manages payroll, benefits, and HR for small and mid-sized businesses. Exporting your Gusto data as CSV and importing it into clariBI allows you to use AI to analyze compensation trends, headcount changes, payroll costs, and workforce demographics.

What You Can Export from Gusto

  • Payroll journal entries (earnings, taxes, deductions, net pay)
  • Employee directory (name, department, title, hire date, status)
  • Compensation and salary history data
  • Benefits enrollment and cost summaries
  • Tax document summaries (W-2, 1099 data)
  • PTO balances and usage records
  • Contractor payment history
  • Department-level payroll cost breakdowns

Export CSV Data from Gusto

Method 1: Export Payroll Reports

  1. Log in to your Gusto account as an admin
  2. Click Reports in the left sidebar
  3. Select a report type (e.g., Payroll Journal, Payroll Summary, Bank Transactions)
  4. Set the date range for the report period
  5. Apply filters by department, employee, or pay type if needed
  6. Click Run Report to generate the report
  7. Click the Download button at the top-right of the report and select CSV as the format
  8. Download the CSV file

Method 2: Export Employee Directory

  1. Navigate to People (or Team) in the left sidebar
  2. Click on Team Members to view the full directory
  3. Look for an Export button at the top of the list — if not available, use the Reports section instead (go to Reports and run an Employee Directory or Employee Details report)
  4. Select CSV as the export format
  5. The file will download with employee details including department, title, and status

Method 3: Export Custom Reports

  1. Go to Reports in the left sidebar
  2. Click Custom Report or Build a Report
  3. Select the data fields you want to include (e.g., earnings, deductions, employer taxes)
  4. Set the date range and any grouping preferences
  5. Click Run Report, then click the Download button and select CSV as the format

Tips for Clean Exports

  • Export payroll journals per pay period rather than large date ranges for easier analysis
  • Use department filters to create focused exports for individual team cost analysis
  • Include both employee and employer tax columns for complete payroll cost visibility

Import Your Data into clariBI

  1. Log in to your clariBI account at claribi.com
  2. Click Data Sources in the left sidebar
  3. Click the + Add Source button (top right)
  4. Under Direct Upload, select CSV File
  5. Enter a descriptive name (e.g., "Gusto - Payroll Journal Jan 2025")
  6. Click the upload area or drag and drop your CSV file
  7. Click Create Data Source

Once imported, you can ask clariBI questions like:
- "What is our total payroll cost by department and how has it changed quarter over quarter?"
- "Show me the average compensation by job title and identify any pay equity gaps."
- "What is the trend in headcount growth and how does it correlate with payroll expenses?"
