User Management and Roles

Guide to managing users, assigning roles, and controlling access in your clariBI organization.

Control who has access to what in your organization.

User Management Basics

Accessing User Management

  1. Go to Settings > Team
  2. Or Organization > Members
  3. View all users in your organization

User List View

See for each user:
- Name and email
- Role assigned
- Last active date
- Status (active/invited/disabled)

Adding Users

Invite New Users

  1. Click Invite User
  2. Enter email address
  3. Select role
  4. Add personal message (optional)
  5. Send invitation

Invitation Process

  • User receives email invitation
  • Clicks link to accept
  • Creates password (if new to clariBI)
  • Joins organization

Bulk Invites

For multiple users:
1. Click Bulk Invite
2. Enter emails (one per line)
3. Select role for all
4. Send invitations

Role System

Default Roles (Professional+)

  • Owner: Full access, billing control
  • Administrator: User and settings management
  • Analyst: Create dashboards and reports
  • Member: Standard access
  • Viewer: Read-only access

Custom Roles (Enterprise)

Create custom roles with specific permissions:
1. Go to Settings > Roles
2. Click Create Role
3. Name the role
4. Select permissions
5. Save

Managing Existing Users

Change User Role

  1. Find user in list
  2. Click role dropdown
  3. Select new role
  4. Changes apply immediately

Disable User

  1. Find user in list
  2. Click ... menu
  3. Select Disable Access
  4. Confirm action

Remove User

  1. Find user in list
  2. Click ... menu
  3. Select Remove from Organization
  4. Confirm removal
  5. Reassign their content (if any)

Access Control

Data Source Access

Control who can access which data sources:
- By role (default)
- By workspace membership
- By explicit assignment

Dashboard Permissions

Set per-dashboard:
- Who can view
- Who can edit
- Who can share

Best Practices

Security

  • Regular access reviews (quarterly)
  • Remove inactive users
  • Use least-privilege principle
  • Enable MFA for all users

Organization

  • Consistent role assignments
  • Document role definitions
  • Onboarding process for new users
  • Offboarding checklist for departing users
